Assistant Event Coordinators

The Opportunity

TAIWANfest, the largest English/Mandarin bilingual cultural festival in Canada, will celebrate its 30th anniversary this summer.  This annual summer event takes place in downtown Toronto and Vancouver, attracting over 200,000 visitors. 2019 TAIWANfest will take place on Aug 23rd – 25th in Toronto at Harbourfront Centre and Aug 31st- Sept 2nd in Downtown Vancouver.

To help fuel our growth, we are looking for Assistant Event Coordinators whose tasks will involve assisting Directors and other staff in overall event planning and coordination.

This is a great opportunity for those studying or pursuing careers in marketing, project management, business administration, or related fields.  The Assistant Event Coordinators will make good use of training in many aspects of project and HR management, including interpersonal skills and communications, budgeting, and program project development.

Qualifications

  • Willing to volunteer with the organization to gain a better understanding of the scope of the work and get the most out of this opportunity
  • Able to work 35 hours/week during the months of July and August at our office
  • Able to attend and support the entire Festival events on August 31st – Sept 2nd
  • Oral or written Mandarin language skill is required
  • Previous TAIWANfest volunteer is preferred
  • Willing to learn and work hard under pressure

Anticipated Learning Outcomes

The ACSEA Assistant Event Coordinator should expect to gain training and experience in real-world applications with real content and deadlines.  Furthermore, the Assistant Event Coordinator may expect opportunities to use and develop skills in the following (but not limited to) areas:

Tasks and Responsibilities

  • Assist Directors and other staff in overall event planning and coordination
  • Work effectively in the coordination of programming, partners, sponsors, vendors, and volunteers
  • Provide research and administrative support
  • Perform tasks for the executive assistant as needed
  • Assist with delivery of event content and programming, archival coverage, volunteer management and other event specific tasks during event days

Required Qualifications

  • Ability to meet deadlines and work well under pressure
  • Strong public relations, teamwork and organization skills
  • Self-motivated and efficient
  • Ability to prioritize and multi-tasks
  • Ability to recognize the time frame and order of operations involved in planning and managing the event
  • Adapt swiftly to real time factors such as changes to programming, on-site event management, and third party involvement (ie sponsors and partners)
  • Willing to learn
  • Proficient using Workplace, Google Suite, and Microsoft Office Suite
